Claude AI Foundations for Wellness Clinics: What You Need to Know, How It Helps, and the 3 Things I'd Set Up First
If you own a wellness clinic or med spa, you've probably heard someone say "just use AI for that." Then you opened Claude, typed a question, got a decent answer, and closed the tab. Nothing changed in your business.
That's not a you problem. It's a setup problem. Claude works best when it knows your clinic: your services, your voice, your policies, your clients. Most owners skip that part and use it like a fancy search bar.
This post is a little more technical than my usual. I'll walk you through the foundations (what Claude actually is and how its pieces fit together), how it can help a clinic like yours, how to start, and the three things I would set up first if I owned a female-owned spa or med spa. Simple systems. Claude does the heavy lifting. You get your evenings back.

The Claude foundations: what you actually need to know
Claude is an AI assistant made by Anthropic. It reads, writes, plans, analyzes and organizes. You talk to it in plain English, on the web, on your phone or in the desktop app. The magic isn't the chat box. It's the layers you build around it.
Here are the building blocks, from simplest to most powerful:
Chat: a single conversation with Claude. Great for one-off tasks: rewrite a caption, answer a client email, brainstorm a promo.
Projects: a workspace with its own instructions and files that every chat inside it can see. This is your "clinic brain." Upload your service menu once and stop re-explaining yourself.
Project instructions: standing rules Claude follows in that Project. For example: "Always write in a warm, calm voice. Never promise results. Use Canadian spelling."
Knowledge files: documents you add to a Project. Your service menu, pricing, policies, FAQs, pre and post-care sheets and brand guide.
Memory: Claude remembers useful details across your chats, so it learns your preferences over time and you repeat yourself less.
Skills: saved, step-by-step instructions for a repeatable task. Your "monthly content plan" or "post-treatment email" process, done the same way every time.
Connectors: secure links to your other apps (Gmail, Google Calendar, Google Drive, Canva and more). Claude can read your calendar, draft emails, or pull a doc without you copying and pasting.
Artifacts: finished outputs Claude builds, like docs, slide decks, spreadsheets, designs and small tools. Think a staff training doc, a treatment comparison chart, or a promo calendar you can share.
The big idea: chat is a conversation, a Project is a relationship. A chat starts from zero every time. A Project starts from everything you've already taught it.
One more technical note. Claude doesn't "know" your business by default. It knows a huge amount about the world, but your prices, your no-show policy and the way you talk to clients have to come from you. The quality of what you get out is directly tied to the context you put in.
How Claude can help a wellness clinic or med spa
Think of Claude as the marketing coordinator, front-desk writer and operations assistant you haven't hired yet. It won't replace your team or your clinical judgment. It takes the blank-page work off your plate.
Here's where I see clinic owners get the biggest wins:
Marketing content. Monthly social plans, captions, reel scripts, email newsletters, Google Business Profile posts and blog articles, all in your voice.
Client communication. Booking confirmations, pre-care and post-care emails, rebooking nudges, gentle replies to tricky reviews, and no-show or cancellation policy messages that stay kind but firm.
Service and offer planning. Seasonal promos, membership or package ideas, launch plans for a new treatment, and the copy to go with them.
Website and SEO. Service page copy, FAQ sections, and local search content ("lymphatic massage in [your town]") that helps the right clients find you.
Team and operations. Staff onboarding docs, treatment room checklists, SOPs, job postings and interview questions.
Thinking partner. Pricing math, comparing two booking platforms, planning a slow season, or talking through a hard decision at 9 p.m. when there's no one else to ask.
The pattern: anything you write more than once, explain more than once, or plan from scratch every month is a great fit.

How to start: just start using it
Here's my honest advice. Don't wait until you "understand AI." You learn Claude by using it on real work, the same way you learned your booking software.
Create an account at claude.ai. The free plan is fine for testing. If you end up using it daily, a paid plan gives you more usage and more features.
Give it one real task today. Not "tell me about marketing." Something like: "Write a friendly email to clients who haven't booked in 90 days. We're a calm, women-owned spa. Offer a complimentary scalp massage add-on with their next facial."
Talk back to it. The first draft is a starting point. Say "shorter," "warmer," "less salesy," "sound more like me." This back-and-forth is where the good stuff happens.
Notice what you keep explaining. If you typed your services, your voice or your town three times this week, that's your sign to set up a Project. Which brings me to my favourite part.
The 3 things I'd set up first if I owned a wellness clinic
If I owned a female-owned spa or med spa tomorrow, this is exactly where I'd start. Three setups, an afternoon of work, and Claude goes from "neat tool" to "part of the team."
1. Build your Clinic Brain Project
Create one Project called something like "[Clinic Name] HQ." This is the foundation everything else sits on.
Add these knowledge files:
Your full service menu with descriptions, durations and prices
Your policies: cancellation, no-show, deposits, late arrivals, refunds
Pre-care and post-care instructions for each treatment
Your top 20 client FAQs and how you answer them
A short brand guide: who you serve, your tone, words you love and words you never use
Two or three pieces of writing that sound exactly like you (a favourite email, a caption that did well)
Then write your Project instructions. Here's a starter you can copy and edit:
You are the marketing and client communications assistant for [Clinic Name], a women-owned wellness clinic in [Town, Province]. Our clients are mostly women aged [range] who want [what they want: calm, confidence, results without pressure]. Write in a warm, calm, knowledgeable voice. Never pressure or shame. Never promise specific medical or cosmetic results. Use Canadian spelling. Always use the prices and policies in our knowledge files, and if something isn't there, ask me instead of guessing.
That last line matters. It tells Claude to check with you rather than invent a price or a policy.
2. Turn your most repeated task into a skill
Pick the one task you or your front desk do every single week. For most clinics, it's one of these:
Writing the monthly social media plan and captions
Sending post-treatment follow-up and rebooking emails
Answering the same five DM and email questions
Walk Claude through how you do it, step by step, inside your Project. Once the result is right, ask Claude to turn that process into a skill. A skill is a saved recipe: the steps, the format, the rules, the examples. Next month you say "run my monthly content plan" and it follows the same recipe, in your voice, without a long prompt.
This is how you get consistency. Your posts and emails sound the same whether you wrote them, your coordinator did, or Claude drafted them at 6 a.m.
Not sure what a skill looks like in real life? My free Caption Creator is one. Add it to Claude and you'll see exactly how a skill works, using your own captions.
3. Connect your tools and set a weekly rhythm
Connect the apps you already live in. Gmail, Google Calendar, Google Drive and Canva are good places to start. Then Claude can look at what's booked this week, draft replies in your inbox for you to review, pull your service sheet from Drive, or help you build graphics.
Then give it a job on a schedule. My favourite is a Monday morning check-in. Open your Project and ask:
Look at this week's calendar. What's quiet and could use a last-minute promo? Draft one Instagram post and one email for it, using our current offers. Then give me three follow-up emails for clients who came in last week.
Ten minutes on Monday and your week's marketing is drafted. You review, tweak, and post. That's the whole system.
A few guardrails for wellness and med spa owners
Your clients trust you with their bodies and their health. Keep that trust intact with a few simple rules:
Keep client health information out. Don't paste client names alongside intake forms, charts, medical history or treatment notes. Use Claude for templates and general wording, then personalize inside your booking or charting system.
You are the expert, not Claude. Claude can draft aftercare wording, but you or your licensed provider should review anything clinical before it goes to a client.
Watch your claims. Advertising for injectables and medical aesthetics often has rules set by your regulator or professional college. Ask Claude to avoid result promises, and do a final check yourself.
Always review before you send. Claude is fast and good, but it can get a detail wrong. Treat every draft as a draft.
Know your privacy obligations. If you're unsure what you can share with an AI tool, check with your privacy officer, regulator or a lawyer before you use it with anything sensitive.
Frequently asked questions
Is Claude free to use?
Yes, there's a free plan, and it's plenty for testing and for running my free Caption Creator skill. If Claude becomes part of your daily routine, a paid plan gives you more usage and more features.
Can I use Claude with client information?
Keep health information, charts and intake details out of it. Use Claude for templates, general wording and marketing, then personalize inside your booking or charting system. When in doubt, check with your privacy officer or regulator first.
How long does it take to set up?
An afternoon. Gather your service menu, policies, FAQs and a few pieces of writing that sound like you, create one Project, and paste in the starter instructions above. You'll notice the difference in the very next chat.
Do I need to be techy?
Not at all. If you can write an email, you can use Claude. You talk to it in plain English, and it gets better the more you use it on real work.
AI is a tool. Knowing how to use it is the skill.
Here's the part I really want you to hear. Claude is a tool, just like a good camera or your booking software. It's powerful, but the results come from the person using it. Knowing what to ask, what good marketing looks like for a clinic, and when a draft is off-brand or off-message takes experience. That part takes years.
If you work with a marketing agency, this is exactly the kind of thing they should be doing for you behind the scenes. When the repetitive work is handled by tools like Claude, your agency has more time and space for the creative, strategic work that actually grows your clinic.
If you keep your marketing in-house, your team needs more than access to the tool. They need to know how to use it well, in your voice, with the right guardrails.
Want us to train your team?
We're happy to help. We'll set up your Clinic Brain Project and skills with you, then train your front desk or marketing person to run it confidently, so your processes get streamlined and nobody feels overwhelmed. Reach out on WhatsApp and tell us a little about your clinic.
Start small, then let it grow
You don't need a tech team or a big budget. You need one Project with your clinic's information, one skill for the task you're tired of doing, and a weekly habit of asking Claude for help.
Start this week. Pick one task, give it to Claude, and see how much lighter Monday feels.
